For decades, business voice ran over copper. You leased POTS lines for a handful of phones, or a PRI (delivered on a T1) when you needed a couple dozen channels at once. It worked, but it was rigid, priced by the line, and increasingly hard to get repaired as carriers wind down their legacy networks. Today most of that traffic is moving to IP: SIP trunking and cloud UCaaS. If your phone bill still lists analog lines or a PRI, you are paying for infrastructure the industry is actively retiring.

Why legacy TDM voice is on the way out

- Cost per channel is high and scales in big, awkward steps. A PRI gives you a set number of channels; need one more and you may be buying a whole second circuit.
- It is tied to a physical location. Move offices and you are provisioning new circuits and often changing numbers.
- Support is thinning out. Carriers are steadily sunsetting copper and TDM services, which means longer repair windows and rising prices for what remains.

SIP trunking vs. hosted PBX / UCaaS
These two terms get used interchangeably, but they solve different problems. Choosing the wrong one is a common and expensive mistake.
SIP trunking
SIP trunking replaces your PRI, not your phone system. If you already own an on-premises PBX (or a modern IP-PBX) and it still meets your needs, SIP trunks deliver voice channels to it over the internet instead of over a T1. You keep your existing phones and dial plan; you just swap the transport underneath. This fits businesses with a working PBX, a capital investment they want to preserve, or specialized call-routing they have already built.
Hosted PBX / UCaaS
Hosted PBX, usually delivered as UCaaS (Unified Communications as a Service), replaces the phone system entirely. The "brains" live in the provider's cloud. You get phones (or softphones and mobile apps), and features like auto-attendants, voicemail-to-email, call queues, video meetings, and messaging come bundled. The benefits that actually move the needle
The pitch for IP voice is not just "cheaper," though it usually is. The bigger wins are structural:
- Cost and elasticity. You pay closer to what you use, and you add or remove capacity in software rather than ordering new circuits.
- Remote and hybrid work. A cloud system follows the user, not the desk. Staff take business calls from a laptop or cell app with the same number and features they have in the office.

Migration essentials you cannot skip
A voice cutover has a few load-bearing details. Get these right and the transition is invisible to your callers. Miss one and you get dropped numbers, dead 911, or garbled calls.
Number porting (LNP)
Local Number Portability lets you keep your existing phone numbers when you change providers. Porting takes coordination and lead time, and the timeline varies by number type and by how clean your current account records are. The single biggest cause of delays is a mismatch between the account details you submit and what your losing carrier has on file. Pull a current copy of your service records early, confirm every number and address matches exactly, and never disconnect your old service until ports are confirmed complete.
E911 / 911 address accuracy
On IP voice, a phone is portable, so the system cannot assume where a 911 call is coming from. You must register an accurate physical location for each phone or user, and keep it current when people move desks or sites. This is a safety-critical, sometimes regulated requirement, not an afterthought. Confirm how your provider handles 911 registration for remote and mobile users before you cut over.
Fax and analog devices
Fax machines, credit-card terminals, paging systems, and some alarm and elevator lines are analog and do not speak SIP. They connect through an ATA (Analog Telephone Adapter) that converts the analog signal to IP, or they move to a dedicated service such as cloud/e-fax. Inventory every analog device on your premises before migration so none get stranded.
Call-path redundancy
Because your voice now rides your internet connection, plan for the connection failing. Good designs include automatic failover, routing calls to mobile apps or a backup number, and ideally a second internet path so a single outage does not take your phones down with it.
Why your internet connection underpins everything
Voice quality on IP is only as good as the network beneath it. Voice is sensitive to latency, jitter, and packet loss in ways that email and file transfers are not. Two things protect it:
- Sufficient, quality bandwidth. Each concurrent call needs headroom, and voice should not have to fight large downloads or backups for it.
- QoS (Quality of Service). Prioritizing voice packets across your network and router keeps calls clear when the connection gets busy.

A sensible cutover plan
Do not flip everything at once. A staged cutover keeps a working phone system live while you prove out the new one.
- Prepare. Inventory numbers, users, and analog devices. Confirm internet capacity and QoS. Gather clean copies of your current service records for porting.
- Parallel run. Stand up the new SIP or UCaaS service alongside your existing lines. Configure call flows, auto-attendants, and 911 registrations before any traffic moves.
- Test. Place real calls in and out, test transfers, voicemail, faxing through the ATA, and failover. Fix issues while the old system is still carrying your business.
- Port and switch. Once you are confident, schedule the number ports. Keep the old service active until the ports confirm, then decommission it.
Never cancel your legacy lines to "save a month." If a port slips, you can lose inbound calls on your main business number until it completes.
